By visiting Adelaide Image Printing's website, you confirm that you have agreed to the Terms and Conditions of Use, read and understood this Privacy Policy, and you acknowledge that upon using our website you accept all the conditions.
Adelaide Image Printing (also referred to as AIP, we, our, us) complies with the Australian Privacy Principles, which are available on the Australian Government's Office of the Australian Information Commissioner's website, www.oaic.gov.au
Commitment to privacy
We understand the importance attached to collected data that identifies your personal information and protecting the confidentiality of that information is fundamental to the way we do business.
This Privacy Policy relates to all personal information and transactional data you may provide AIP as a result of doing business with us, or that we collect during the use of our applications and websites. Unless you give us permission to use your personal information in another way, we will safeguard your personal information, including how we collect, use, store and disclose that data.
Personal information collected
As part of operating our business, AIP collects certain personal information that is necessary to initiate and service a relationship in order to help you access our products and services. The personal information collected, used and stored typically consists of business correspondence data that includes name, address, telephone, fax and e-mail addresses.
We understand the sensitive nature of transactional data you provide while using our applications and protecting this data is a critical part of our business practices.
From time to time AIP will use your contact information to provide notices via email or regular mail relating to new products or services, updates to software or system maintenance, our business practices and anything else deemed as important to maintaining a mutually rewarding relationship. Every marketing email we send includes an unsubscribe option, and you can ask us to stop sending marketing material at any time by contacting us.
We also collect personal information from prospective employees and AIP retains all information relating to unsuccessful applicants for a period of up to 12 months or for a mutually agreed period, after which time this information is destroyed.
You are not obliged to provide personal information to us. If you choose not to, or if the information you provide is incomplete or inaccurate, we may not be able to provide you with the services you have requested where that information is relevant to the service.
Collecting personal information
Most of the time, we collect personal information directly from you. For example, we may collect this information when you fill in an application form, open a new account, deal with us over the phone, contact us in person, via email correspondence, or by visiting one of our websites.
There also may be occasions when AIP needs to source personal information about you from a third party, such as a commercial credit reporting body or another business which you have provided as a reference.
Our website, forms and cookies
Our website is built and hosted on the Wix platform. When you visit the site, essential cookies are placed on your device by Wix for security, site stability, caching and error logging. These are required for the website to function. If we use analytics or advertising tools, such as site analytics or social media pixels, the cookies they set are not essential, and you can accept or decline them through the cookie notice on our site. You can also block or delete cookies through your browser settings, though some parts of the site may not work as intended if you do.
When you complete a quote request, order form or contact form on our website, the information you enter is stored in our website database so we can respond to your enquiry and keep a record of it.
Some of our forms allow you to upload artwork, data files or documents. If a file you send us contains personal information about other people, for example a mailing list or photographs of staff, you confirm that you are entitled to provide it to us for the purpose of producing your job. We use those files only to quote, produce and deliver your order.
Our online ordering portal at adelaideimage.printcost.com is provided by a third party system. Any account details and order history you create there are handled under that provider's own terms and privacy practices as well as this Privacy Policy.
Using personal information
As mentioned, we collect your personal information for the primary purpose of establishing, building and servicing a mutually beneficial relationship with you. However, we may also use or disclose your personal information for purposes such as:
regulatory reporting and compliance
internal accounting and administration
maintaining security and fraud protection
identifying products or services that may benefit you
providing you with our marketing materials
AIP may also provide a list of names and addresses to a mailing house or Australia Post, to mail printed notifications and marketing materials to you. We will not however, disclose names and addresses to third parties for the purposes of allowing them to direct market their products and services to you.
Disclosure outside Australia
Some of the service providers we rely on to run our business are located outside Australia, or store data outside Australia. This includes the Wix platform that hosts our website and stores website form submissions and uploaded files. Wix is operated by Wix.com Ltd and its affiliated companies, and uses data centres and service providers located overseas, including in the United States, Europe and Israel.
Where we disclose personal information to an overseas recipient, we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles. If you would like to know more about the overseas providers we use, contact our Privacy Coordinator.
Your consent to disclose
In certain circumstances, it may be necessary to obtain your consent so that we can disclose your personal information to a third party. Your consent is important, can be express or implied, and can be retracted at any time by contacting our Privacy Coordinator.
Express consent can be written or given verbally. For example, when you sign a credit application for an account, you are giving your express consent for us to obtain a credit reference about you from a commercial credit reporting body. Another example of express consent is when you open an account and you agree to us sending you material about other products or special offers.
Consent is also implied when we can reasonably conclude that you have given consent by some other action you have taken, or when you decide not to take action. An example of this is, when you request products, we disclose identifying information about you to a mailing house so that your products can be mailed to you. Alternatively, if you have applied for a position with us, we will disclose personal information to your referees when processing your job application.
Dealing with us anonymously
Where it is lawful and practicable to do so, you have the option of dealing with us anonymously or under a pseudonym. If you would prefer to deal with us that way, contact our Privacy Coordinator by emailing support@adelaideimage.com.au
Keeping personal information current
By maintaining your personal information as accurate and current, we can continually provide you with the best service possible. As such, we are committed to ensuring your personal information is accurate, complete and current, whenever we collect or use it. If at any time you find that the information we hold about you is incorrect, please contact our Privacy Coordinator by emailing support@adelaideimage.com.au
Securing personal information
Keeping your personal information secure and confidential means that we will protect it from unauthorised access, modification or disclosure, misuse and loss. Only authorised users can access your personal information, and access is limited for approved purposes only.
AIP maintains physical security over our paper and electronic data stores and premises, such as locks and security systems, as well as maintaining computer and network security measures for both intranet and internet connections, and user identifiers and passwords to control access to computer systems.
We will only keep your information for as long as it is needed and if your personal information is no longer needed for the purpose it was collected in the first place, we will either permanently destroy or de-identify the stored information.
In the event of a data breach that is likely to result in serious harm, we will respond in accordance with the Notifiable Data Breaches scheme under the Privacy Act 1988, which includes notifying affected individuals and the Office of the Australian Information Commissioner where required.
Privacy Policy changes
We may review and update this Privacy Policy from time to time, for example when our business practices or the technology we use changes. The current version is always published on our website with the date it took effect. If we want to use your personal information for a purpose that is not covered by this Privacy Policy, we will seek your consent first, unless the use is permitted or required by law.
Personal information access and resolving concerns
If you are concerned about how your personal information is used you should check our website periodically. If you request us to do so and within a reasonable timeframe, AIP will provide you with all details of your personal information unless the specific information you seek is exempted under the Privacy Act 1988.
Upon making a request for access to personal information, we will first ask you to verify your identity and also specify what information you require. In addition, if you are in the belief that the confidentiality of your personal information has been compromised, you are entitled to complain.
In managing access to personal information and responding to complaints, or if you have any questions about the information contained in this Privacy Policy, please contact the Privacy Coordinator by emailing support@adelaideimage.com.au
We will acknowledge your complaint and respond to it within 30 days. If you are not satisfied with our response, you can refer your complaint to the Office of the Australian Information Commissioner at www.oaic.gov.au, by calling 1300 363 992, or by writing to GPO Box 5218, Sydney NSW 2001.
